Can we limit manual activity entry?

Find out about options for limiting and moderating manual distance entries

Manual entry is always enabled as a back-up for when someone's activity tracker doesn't capture their steps properly or for when they forget to carry their tracker device, however there are ways of limiting and moderating this feature if you have concerns about participants being able to manually enter their activity.

Global challenge setting

By default, all manual activity is automatically added to the challenge. You can change this so that you, and other admins, must approve (or reject) each activity entry. To do this, open the challenge admin area, then go to the active challenge's Settings section.

In the Activities sub-section, you'll find the option to change "Manual activities" to "Admin approval required". If you change this setting, make sure to click on Update at the bottom of the page to save your choice.

Now, when a participant attempts to manually add an activity, they'll be presented with a Submit for approval button and a message saying that you have chosen to approval manual activity entries.

In your challenge admin area, you'll see a new section that shows any distances which are awaiting approval. In the screenshot below, you can see that one distance is awaiting approval.

Clicking on Distances takes you to a list of all distances that are waiting for approval. You can click the green tick to approve a distance, the red cross to reject it, or the eye icon to see more about the distance entry.

If you approve a distance it will be immediately added to the participant's total and their team's total. If you reject a distance, it will not be added to the participant's total and they will not receive a notification about this but they will see that you have rejected it when viewing the distance entry (see screenshot below) and can remove it from the list by clicking the cross icon if they wish.

Participant-specific settings

Alongside the global setting noted above, you can choose to apply this approval process to a specific participant's activity. For each user, you can choose if their own manual entry ability should:

  • Use the global setting as above

  • Automatically allow all manual entries

  • Require admin approval

You can change this setting in a user's Settings section as below:

With this fine-grained approach, you could:

  • Require approval for most participants' manual activities but allow some participants to automatically add their activity, or

  • Allow most participants to manually add activity but moderate some participants's activity with admin approval.
